01 / What’s in it
One system from seminar to certificate.
Seminar management software is where a seminar provider keeps its seminars, dates, registrations and participants. What goes into yours, we settle in the specification. These six parts run at BSB-Akademie.

Seminars and dates
The academy creates seminars and dates itself in the admin area. The seminar page then shows price, duration and the dates to choose from. An illustrated guide is stored in the system.

Online registration
Participants register on their own or as a group, and the form shows the total right away. People who call in are entered by the academy itself. Returning customers are recognized and not created twice.

The seminar day
The academy prints the attendance list as a PDF. Forms are on the site to download. At the end of the day, participants rate the seminar via QR code.

Certificates
After the last seminar day, the academy sends the certificates of attendance by email with one click. That has been running from the admin area since October 11, 2026.

Emails to participants
Group emails to everyone booked on a date, and the newsletter, go out from the same system that holds the registrations.

Over 1,600 tests
The site comes with over 1,600 automated tests and click-throughs in the browser, at desktop and phone size. How it’s built is in the case study.

BSB-Akademie in Monheim.
The owner has been running seminars for works councils, HR managers and managing directors since 2008. For a long time, they went through a platform that brokers seminars. Then he wanted his own academy with its own website.
The plan was a website where he creates his seminars himself. In the specification we added how participants register and what happens after the seminar day. Every week we agreed on what comes next and what it costs.

There are plenty of ready-made programs for seminar management, such as edoobox, simplyOrg or GRÜN VEWA. If one of them fits how you work, a rebuild from us would cost more and do less. Then we tell you so in the intro call and give you the name.

When off-the-shelf software is enough
Your seminars follow a pattern: date, registration, confirmation, participant list. Registration only has to be embedded in your website, and the program’s fields and emails are enough for you. Then take the ready-made one.

When your own software pays off
Your workflows don’t fit a program’s form: groups from companies, registrations by phone, separate materials for each seminar. Or website and admin area should be one system that belongs to you, with the source code in your repository.

We bill by the hour. How many hours depends on what your system has to do, and that’s settled once the specification is done. At BSB-Akademie the scope grew week by week, and before every step it was clear what it would cost.

Two days at your place first, then we build.
Before we build, we spend two days with you and look at how registrations come in today and who keeps which list. That gives us the specification and the quote. Then we build in one-week sprints, and at the end of each week you see a demo.

- What is seminar management software?
- Software in which a seminar provider keeps its seminars, dates, registrations and participants. It usually covers registration through the website, participant lists, emails to participants and the certificate after the seminar.
- Isn’t there ready-made software for this?
- Yes, for example edoobox, simplyOrg or GRÜN VEWA. If one of them fits how you work, we tell you so in the intro call and send no invoice.
- Can participants register as a group?
- At BSB-Akademie, yes. One person registers and adds more participants, each with their own email address. How registration should work for you, we set out in the specification.
- Does registration run on our existing website?
- At BSB-Akademie, website and admin area are one system: the seminar page shows price, duration and dates, and the registration lands straight in the admin area. Whether we connect to your existing site or build both new, we work out in the intro call.
- Can we create and change seminars ourselves?
- Yes. You maintain seminars, dates and registrations yourself in the admin area. At BSB-Akademie there’s an illustrated guide for it in the system.
- Can the system write invoices too?
- Yes. At BSB-Akademie the registration later becomes the invoice, as an e-invoice on request.
- Where is participant data stored?
- On servers in Germany, in Düsseldorf or Frankfurt. As soon as we process your participants’ data, a data processing agreement under Art. 28 GDPR applies.
- What does your own seminar management system cost?
- We bill by the hour, €130 + VAT per hour of work. We give you the range for your system after the intro call and cost estimate, and both cost €0.
